What is Domain Health?

Domain health is a measure of how well your email domains are performing in email campaigns. Unhealthy domains risk being marked as spam, which can damage your sender reputation and reduce email deliverability. This dashboard helps you identify problematic domains before they cause issues.

Why Only Some Domains Are Evaluated?

Not all domains in SmartLead are evaluated. Only domains meeting the minimum volume threshold are included:

100 emails minimum in 7 days
A domain must send at least 100 emails in the last 7 days to be evaluated.

Why this matters: Domains with low activity don't provide statistically meaningful data for reply rate analysis. By requiring 100+ emails, we ensure the reply rate percentages are based on sufficient sample sizes to be actionable.

How Domain Health is Evaluated

Domains are evaluated daily based on three criteria. A domain is flagged as UNHEALTHY if 2 or more criteria are met:

1. Domain Age > 30 Days

Domains where first_seen_date (from SmartLead data) is more than 30 days ago. This is a common threshold for establishing domain credibility with email providers. Domains newer than 30 days are still developing their sender reputation.

2. Week-over-Week Reply Rate Decline >= 50%

The domain's reply rate dropped 50% or more compared to the previous week. For example, if a domain had a 4% reply rate last week and dropped to 2% or below this week, this criterion is triggered. Sudden drops may indicate deliverability or reputation issues.

3. Bottom 10% Reply Rate Within Client

The domain has the lowest reply rates compared to all other domains belonging to the same client. Calculated by ranking all domains per client and selecting the bottom 10%. This helps identify which specific domains are underperforming within a client's email program.

Client-Based Analysis

The Bottom 10% in Client criterion is calculated per-client. This means:

  • Each client's domains are ranked separately by reply rate
  • Domains in the bottom 10% of their client's portfolio are flagged
  • A domain that would be "healthy" in one client might be "unhealthy" in another with higher-performing domains
  • Use the client filter on the Domains page to see bottom 10% analysis for specific clients

Using the Dashboard

Overview Tab

Shows summary KPIs: total domains evaluated, unhealthy count, healthy count, and unhealthy percentage. Hover over any KPI to see detailed explanations. The criteria breakdown shows which criteria are contributing most to unhealthy domain counts.

Domains Tab

View all unhealthy domains with search, filter by client, sort by columns (reply rate, WoW change, sent volume, criteria count), and paginate through results. Click any domain row to see detailed breakdown of which criteria are met.

Clients Tab

See all clients with their domain counts, unhealthy domain counts, and average reply rates. Helps identify which clients have the most domain health issues to address.

Technical Details

This dashboard integrates with SmartLead via their API to sync client and email account data. Domain health evaluations are performed daily against the PostgreSQL database containing email campaign metrics.
